We collect information you voluntarily provide when you:

We use Amazon Simple Email Service (AWS SES) to send transactional and service-related emails. We only send emails to individuals who have:

  • Explicitly provided their email address through our website forms

  • Requested a demo or initiated contact with us

We do not purchase email lists, scrape email addresses, or send unsolicited bulk emails. Every email we send is either transactional (directly related to a request you made) or sent with your explicit opt-in consent.

4.1 Unsubscribe and Opt-Out

You can opt out of receiving marketing communications at any time by:

  • Clicking the "Unsubscribe" link included in every marketing email
  • Emailing us at contact@insybit.com with the subject "Unsubscribe"

We will process your opt-out request within 48 hours. Note that you may still receive transactional emails related to active service requests.

5. Bounce and Complaint Handling

We maintain robust email hygiene practices:

  • Hard bounces are automatically removed from our mailing lists immediately
  • Soft bounces are retried up to 3 times before being suppressed
  • Spam complaints are processed immediately and the complainant is permanently removed from all mailing lists
  • We monitor our bounce and complaint rates continuously to maintain sender reputation

6. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share your data with:

  • Service providers who assist in operating our platform (e.g., cloud hosting, email delivery, analytics) under strict data processing agreements
  • Legal authorities when required by law, regulation, or legal process
  • Business partners only with your explicit consent

7. Google User Data

When you connect your Google Ads account to Oktivo, we request access through Google OAuth (sign-in) to the following:

  • Google Ads (adwords): to list your Google Ads accounts, read and create conversion actions, and show your campaign and conversion reports inside Oktivo.
  • Google Data Manager (datamanager): to upload offline conversions (the outcomes of leads in your Oktivo CRM) back to your Google Ads account so your bidding improves.
  • Your Google account email (openid, email): to show which Google account is connected.

7.1 How we store it

Your Google refresh token is stored encrypted. Short-lived access tokens are never stored. We only access the Google Ads accounts you choose to connect, and we never access another customer's data.

7.2 How we share it

We do not sell your Google user data. We do not use it for advertising. We do not share it with third parties except as strictly needed to provide the Google Ads connection you requested. Contact data sent to Google is hashed (SHA-256) before it is uploaded.

7.3 How to delete it

You can disconnect at any time in Oktivo under Connecter > Google Ads > Disconnect, which revokes our access at Google and deletes the stored connection. You can also remove access at myaccount.google.com/permissions, or email contact@insybit.com to delete all your data.

7.4 Limited Use

Oktivo's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

8. Data Security

We implement industry-standard security measures to protect your personal information, including:

  • Encryption of data in transit using TLS 1.2+
  • Encryption of data at rest
  • Access controls and authentication mechanisms
  • Regular security assessments and monitoring

While we strive to protect your data, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

9. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy, or as required by law. Demo request data is retained for up to 12 months. You may request deletion of your data at any time by contacting us.
